Securing Electronic Voting: GDPR and CNIL Information

Information regarding your personal data and the GDPR for participants in online voting with Votebox

1. Processing of voting-related data

The voting results are saved in a local database on the computer that managed the meeting.

2. Departments receiving the voting results

The General Meetings Department will collect the minutes of the meeting.
A backup of the general meeting database will be sent via email if the vote was conducted using a computer owned by Quizzbox Solutions or a service provider.

3. Data retention period

  • Data corresponding to the voter's login ID, and information about the voter (Name and
    (first name) are deleted 30 days after the meeting session is created on the online server.
    • If the meeting takes place on a computer owned by Quizzbox Solutions or one of its service providers
      , the data is stored for a maximum of 30 days, unless the client specifically requests its deletion from
      after the meeting.
    • If the meeting is held using a computer owned by the client’s organization, the data is saved locally
      and is therefore not accessible to our services.
    • Email addresses and/or cell phone numbers used to send the login credentials for
      (voting) are automatically deleted once the meeting has ended.

Quizzbox software ensures optimal data security:

  • Content encryption,
  • Data transmitted through the online solution is encrypted using HTTPS/WSS protocols,
  • No data is stored on the online server,
  • Debian VM server with Nginx server hosted by OVH,
  • Automatic saving of results to the local software,
  • Password-protected access to the administrator system,
  • In the case of polls configured for anonymous voting, individual votes are neither displayed nor recorded in the database.
